Report Distributions

Configure and manage report delivery using automatic and opt-in distribution workflows.

Report Distributions

HeartLab can automatically distribute completed reports and studies to referring physicians, clinics, or external recipients immediately after report sign-off.

Automated distributions help:

  • Reduce manual administrative work
  • Ensure timely report delivery
  • Improve communication workflows
  • Eliminate the need for manual exporting or emailing

Distribution Modes

Each distribution can be configured with one of the following send modes.

Automatic

Automatic distributions are sent whenever their configured conditions are met.

Automatic distributions:

  • Are always enabled
  • Cannot be disabled on individual studies
  • Support additional filtering such as:
    • Required assignees
    • Required clinical locations

Opt-In

Opt-in distributions are available on a per-study basis.

Users can:

  • Enable or disable the distribution for individual studies
  • Manually send reports through the distribution
  • Control whether future reports for the study are automatically delivered

Disabled

Disabled distributions remain configured but are not used.

Disabled distributions:

  • Are hidden from the study-level distribution dialog
  • Do not send reports automatically
  • Cannot be manually triggered

Configure Report Distributions

To create or edit a distribution:

  1. Navigate to Settings → Reporting → Distributions.

  1. Select Create Distribution.
  2. Enter a distribution name.
  3. Select a distribution type.

  1. Select the send mode (Automatic, Opt-In, or Disabled).
  2. Select the report types that can be sent using this distribution (Preliminary, Final, or Amendment).
  3. For Automatic distributions, configure any required trigger conditions:
    • Assigned users
    • Clinical locations
  4. Configure sending options specific to the selected distribution type.
Use Automatic distributions when reports should always be delivered whenever configured conditions are met.
Use Opt-In distributions when report delivery should be controlled on a study-by-study basis.

Manage Distributions for a Study

You can manage report distributions directly from an individual study.

  1. Navigate to the desired study.
  2. Select the Report Distributions icon.

Distributions Tab

The Distributions tab displays:

  • Available distributions
  • Distribution status
  • Recent delivery status
  • Manual send controls
Automatic distributions will only be shown when their specific conditions are met.

Enable or Disable an Opt-In Report Distribution

  1. Locate the distribution.
  2. Change the status to Enabled or Disabled as needed.

Future completed reports for the study will now honour the new setting for the distribution.

Distributing a Report Manually

Reports can be sent immediately using the manual send control.

  1. Locate the desired distribution.
  2. Select the Send icon.

Following a manual send:

  • The distribution status updates automatically
  • Delivery progress is displayed
  • Successful deliveries are indicated with a green tick
  • Distribution history is updated
The send option is only available when a completed report exists and the selected distribution supports the current report type. If sending is unavailable, hover over the disabled send icon to view the reason.

Distribution History

Select the History tab to review previous report deliveries.

The History tab display delivery date and time, destination details and status. You can re-deliver previously sent reports if required.
